PRIVACY POLICY

The Ralph Vaughan Williams Society and Albion Records

The Ralph Vaughan Williams Society (the Society) is a United Kingdom registered charity. Albion Records (Albion) is a UK-incorporated, wholly-owned subsidiary of the Society whose role is to produce recordings of works by Ralph Vaughan Williams (RVW) and his contemporaries which are sold as compact discs and by digital downloads.

Together, these organisations are dedicated to the promotion of the life and works of RVW, by widening the knowledge, understanding and appreciation of his music; encouraging the performance and recording of his music; and promoting understanding of his music through a deeper understanding of his life, including its social, economic and cultural context.

Data collection and usage
The Society collects certain information about its members, including names, postal and email addresses, telephone numbers and financial details for the purposes of membership maintenance and renewals and keeping members informed by various means of forthcoming concerts and other events that may be of interest to them. Similar data is obtained by Albion for the purposes of keeping members of the Society and other parties who support it and/or buy its products informed about its activities and products and for the purposes of its sales activities. Some of this information is processed through external agencies such as Paypal and Mailchimp.

Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

Data protection
Your data is held securely on the RVW Society and Albion Records’ database or in paper files held securely. This information and electronic data is accessible only to a limited number of officers of the RVW Society and Albion Records.

Your data will be used by the RVW Society and Albion Records in accordance with the General Data Protection Regulation and more specifically:

• To perform their respective roles as summarised in the first section above and their other respective legitimate interests
• To comply with any legal or regulatory obligation to which either of them is subject
• Based on your consent, e.g. when you have agreed that we may send some specific material to you.

Sharing your data
Unless you expressly inform us otherwise, information about you held by the RVW Society may be shared with Albion Records (and vice versa), given that the two organisations are closely linked. Apart from this, except in the unlikely event that this is required by law or regulation to which we are subject, we will not share your data with any third party, including for marketing purposes.
Insofar as the Society and/or Albion contacts you by email, you may opt out of receiving further such messages at any time – generally by using the “unsubscribe” link at the bottom of all our emails.

Retaining your data
Data about you may be retained by the Society and/or Albion after you have ceased to be an active member of the Society for up to ten years, but will be used solely for the purposes of accounting and/or keeping track of “lost” members of the Society who may potentially rejoin it at some point. If you wish the Society and/or Albion to erase your data before this (the “right to be forgotten”), you may ask us to do so.

Your rights and preferences
The legal basis for processing your personal data is your consent, where you have provided this. There is no statutory requirement for you to provide us with any personal data.
The RVW Society and Albion Records may contact you by post unless you request otherwise, and by telephone, text, email or other electronic means as you have previously consented.

You have the right to:
• withdraw your consent at any time.
• see or delete the data we hold about you.
• object to specific data uses
• object to receiving communications and direct marketing
• ask for the transfer of your data to a third party.
• lodge a complaint with the Information Commissioner’s Office at www.ico.org.uk/concerns

If you no longer wish to receive communications from us by post, telephone, email, text or other electronic means, please contact our GDPR Officer at 01892 864265 or JohnFrancis@albionrvw.co.uk
